Administrative Assistant / Receptionist
Job Responsibilities:
×       Communicate a positive image of the company to the entire staff and customers
×       Answer incoming calls – screen and direct to appropriate person
×       Greet visitors
×       Open, date stamp and distribute mail
×       Process and prepare mail and packages for shipment
×       Maintaining electronic logs
×       Organize & maintain company files – accurately filing documents and set up new files as needed
×       Type, revise and combine materials such as correspondence, reports, records, forms, meeting minutes, numerical data, and tabular information from rough draft, corrected copy or previous versions
×       Proofread and edit documents for grammar, spelling, punctuation and format
×       Provide support for staff as needed, including scheduling conference calls, reserving and setting up meeting rooms, making travel arrangements, preparing documents for submittal to other internal groups, planning for special events
×       Order office supplies
×       Maintain the common areas (break room, workroom, conference rooms)
×       Scanning and copying
×       Process daily timesheets
×       Use of company templates and ability to customize them for a particular use if needed
×       Assist Accounts Payable as needed
×       Assist Human Resources as needed
×       Assist Controller as needed
 
Requirements:
Proficient in use of Microsoft Office (Excel, Word, etc.) and Adobe Acrobat
Flexibility and willingness to accommodate last minute requests
Minimum 1-2 years reception/office administration experience in an office environment
Excellent writing and editing skills
Must demonstrate a high level of attention to detail in completion of tasks.
Willingness to help all levels of staff members
Must have versatility, flexibility and willingness to work within frequently changing priorities
Professional, positive attitude is needed
