Job Title: Project Coordinator/Assistant Project Coordinator

Description: 
Requirements: 
 PRECONSTRUCTION – Receive and distribute plans and specifications, attend meetings and prepare  meeting minutes, input project information into Procore, assist Project Manager with follow up as  needed for any outstanding information   

 BIDDING – Assist Project Manager with creating bid list, distribute bid documents through Procore,  follow up with bidders to receive bids and all supporting information by due date   

 OWNER CONTRACTS – Prepare AIA owner contracts and required exhibits, assist with any other items  required for preparation of contracts   

 AWARD OF SUBCONTRACTS – Prepare subcontracts with all required exhibits using most current forms  of documents or as modified for a specific project.  Distribute contracts to subcontractors and follow up  to receive executed subcontracts in a timely manner   

 OWNER RELATIONS – Attend owner meetings and act as the point of contact with the owner’s  representative in place of the Project Manager as needed, prepare and distribute meeting minutes     

 PROJECT INFORMATION / COORDINATION – Perform project startup tasks, Place revised drawings into  Procore, Request, receive and distribute submittals for approval after review by Project Manager  through Procore, distribute answered RFI’s as determined by the Project Manager in Procore, receive  and distribute revised drawings or specifications, follow up on any outstanding information such as, city  plan reviews, miscellaneous permits, responses to reports from architects, waterproofing or ADA  consultants, maintain the project files and update the turnover schedule   

 COST CONTROL – Assist the Project Manager with receiving and replying to subcontractor change orders  in a timely manner, assist Project Manager with follow up on invoices or pay applications     

 PAY REQUESTS – Assist the Project Manager as needed   

 PROJECT CLOSEOUT – Work with the Executive Administrator and review the closeout manuals meet the  requirements of the contract documents and MT Builders policies and procedures, distribute as needed   to the appropriate parties, provide letter to Owner with 1st Turnovers about processes   

 RECEPTION AND FRONT DESK – Perform the Reception and Front Desk duties when needed
